Laboratory/Office/Purchasing Assistant

BioConsortia is seeking a reliable, organized Lab/Office/Purchasing Assistant to assist in the day-to-day administrative aspects of running our business. The successful applicant will have a positive attitude, a desire to work as efficiently as possible, and excellent client-facing communication skills. We’re looking for someone who can operate effectively with little or no supervision and who can manage multiple tasks at once without becoming overwhelmed, as well as a team player with a keen interest in building successful relationships with clients.



  • Assist in purchasing operations to achieve timely and cost-efficient delivery of goods and services
  • Place orders
  • Follow up on shipping and arrival times
  • Create draft PO’s
  • Request quotes from vendors
  • Assist in monitoring and maintaining office supplies inventory; review and approve office supply purcchases
  • Generate mailing labels from FedEx for scientists and set and monitor pickup times
  • Accept shipments daily and notify lab personnel
  • Update order log when packages are received
  • File packing slips

Laboratory Assistant:

  • Maintain/Update electronic chemical inventory
  • Maintain/Update equipment maintenance calendar
  • Maintain/Update Asset Register Update SOP’s
  • Inventory and update First Aid kits
  • Arrange Smoke detector and fire extinguisher inspections
  • Schedule and complete Safety Shower and Eye Wash inspections
  • Schedule equipment maintenance
  • Monitor PPE inventory and condition
  • Schedule hazardous waste disposal

Office management/files, etc.

  • Ensure filing systems are maintained and current; establish and monitor procedures for record keeping
  • Organize meetings; arrange appointments; and book transport and accommodation, as needed
  • Collect, open and date stamp mail and sort for further distribution
  • Greet and log visitors and maintenance/repair persons
  • Inventory and update office supplies
  • Scan and shred documents



  • 2+ years experience in an administrative capacity; science or laboratory experience a plus
  • Associates or Bachelor’s degree in science field preferred
  • Proficient in Word and Excel; Powerpoint a plus
  • Pleasant, friendly disposition with strong interpersonal communication skills
  • Excellent attention to detail
  • Strong organizational ability and ability to prioritize tasks
  • Ability to consistently meet all deadlines


Permanent authorization to work in the USA (US citizen or permanent resident) required.
